Using Centralized Admin Tools to Manage Your Organization, Academy or Facility

With version 4.0 Onform has introduced several new capabilities for managing a multi-coach and multi-location academy, facility or organization. These new tools enable administrators to more easily manage the connections of athletes to coaches across the organization.


Key new features include:

  • Setup a separate organization for each facility or academy you manage and silo your athletes and coaches
  • Manage staff and invites and view athletes connected to each coach
  • Add new athletes and assign them to coaches within the organization
  • Easily add or remove coaches from across the organization
  • Assign and re-assign coaches to athletes in bulk

Manage Staff

Access the Manage Staff screen by tapping your organization name.


Add Staff

Tapping the 'Add Staff' link as shown below allows you to enter each of your staff in the organization and invite them to connect with you. This process does not create a workspace for that staff member. If you would like to do so, you can easily tap the '+' button on the Home screen, tap on add team or individual, then select the staff member from the existing list of organization members.

Enter the name of your staff person and optionally set them as an Admin of the org, which provides additional permissions for adding and removing people and videos within the org.

Remove and Re-assign

To remove a staff member if they have left your organization is simple, just tap on their name in the staff list and go to their staff details page, tap the more icon in the top right and choose 'Remove from organization and re-assign athletes'. Next, select the staff person that will replace the existing staff member. The new staff member will be added to all the workspaces that the current staff member is connected to. This allows seamless transition from one coach to the next in an academy or facility.
